Workflow Scorecard

Use the 4-of-6 rule to decide whether a workflow is ready for a fit call, needs narrowing, or should stay out of deployment.

How to use this

Use this before a call or internal meeting. Score one specific workflow, not a department or transformation theme.

The 4-of-6 scoring rule

A workflow should meet at least four conditions before it enters a Deployment Pod. Fewer than four means the workflow is too early, too broad, or missing a business owner.

CriterionWhat good looks likeEvidence to bring
FrequentHappens weekly or dailyVolume, tickets, invoices, leads, reports
Time-consumingConsumes meaningful human effortHours per week, team count, delays

0-1Too earlyDo not buy a diagnostic yet. Find a real owner or measurable KPI first.
2-3Needs narrowingReduce scope to one workflow slice with clearer rules and data.
4-6Fit-call readyBook a Workflow Fit Call and bring the owner, systems list, and KPI baseline.

Common scoring mistakes

  • Scoring an entire department instead of one workflow.
  • Counting pain as proof of deployability.
  • Assuming data exists because the team can see it manually.
  • Ignoring the person who must approve rules and unblock access.
  • Using vague goals like productivity instead of measurable KPIs.
